Hotel Internal Transfer to Another Property: 12 Things to Check

Considering transfer to another hotel property? Check the legal employer, salary, benefits, service continuity, relocation and written HR approval first.

Article

You work at the front desk of a hotel in Jaipur. A manager says there’s an opening at another property in Mumbai and asks, “Would you like to transfer?” It sounds exciting—but will your salary, leave balance, seniority and housing stay the same?

Don’t accept based only on a verbal promise. A move between branches of one company may be an internal transfer. A move between hotels that share a brand but have different legal employers may require a separate employment arrangement. The paperwork—and the consequences for pay, benefits and joining—can be different.

This guide helps hotel employees assess an internal property transfer, ask the right questions, compare the actual costs and request clear written terms before relocating.

Internal hotel transfer vs joining another hotel: what’s the difference?

Possible situationWhat to clarify
Move between two properties owned by the same legal employerTransfer order, continuity of service, role, payroll and location
Move to another hotel managed by the same brand but a different companyWhether you are leaving one employer and joining another, with separate documents
Temporary assignment for hotel opening or peak seasonAssignment dates, accommodation, travel costs, reporting and return plans
Transfer that also changes your department or gradeNew duties, training, appraisal expectations and compensation
Move requested by the employer rather than youApplicable contract provisions, consultation, timelines and support

Same brand does not always mean same employer. Many hospitality properties operate under different ownership, management or franchise arrangements. Check the legal entity on your current appointment letter and the proposed transfer paperwork.

12 questions to ask HR before agreeing to another property

  1. Which legal company employs me after the move?
  2. Is this a transfer within employment, a temporary posting or a new joining?
  3. What’s the exact new hotel, address and expected start date?
  4. Will my job title, grade and reporting manager change?
  5. What are my revised gross and expected take-home pay?
  6. Will earlier service count for relevant benefits, if applicable?
  7. How will unused leave, attendance and any pending reimbursements be handled?
  8. Will there be a fresh probation period or different notice terms?
  9. Who pays relocation tickets, temporary lodging and any staff-housing deposit?
  10. What accommodation and transport will actually be available?
  11. Will the new property provide system, brand or role-specific training?
  12. Who confirms the final transfer order, joining instructions and payroll details in writing?

Ask for answers before booking nonrefundable travel or telling your current team that your move is final.

Check your salary against the cost of living

A transfer that increases fixed pay can still leave less money after essential expenses. Compare take-home pay and realistic expenses in both cities, along with working hours, professional development and living arrangements.

Fictional example only: Aman gets ₹25,000 take-home pay in City A and spends ₹7,000 on rent, transport and meals. City B offers ₹29,000 but requires ₹12,000 for the same categories.

Monthly comparisonCity ACity B
Illustrative take-home pay₹25,000₹29,000
Illustrative essential costs₹7,000₹12,000
Remaining before other spending₹18,000₹17,000

These figures are invented to demonstrate the calculation. They are not city salary benchmarks or actual hotel offers. Compare the complete package using HorecaHire’s hotel job offer comparison and ask for a genuine local housing quote.

Does a hotel transfer reset probation, notice or benefits?

There is no single answer that applies to every hotel or transfer. The effect depends on the original contract, new legal employer if any, applicable labour and benefit rules, collective arrangements where relevant, and the actual transfer document.

If HR calls it a “transfer” but asks you to resign and sign a new appointment letter with another entity, carefully clarify treatment of service, earned wages, leave, statutory contributions and separation documents. For covered employees in India, official EPFO records may be relevant to provident-fund continuity, but the presence of an existing UAN does not answer every employment-continuity issue by itself.

Suggested question: “Could you confirm in writing which employment benefits carry over, which do not, and the policy or law relied on for those decisions?” If an important amount or statutory benefit is disputed, seek specific qualified advice rather than assuming automatic transferability.

What if the new property offers the same salary but a different role?

Read the real job description. Moving from Front Desk Associate to Reservations Coordinator may be a useful skills opportunity even without an immediate pay rise, but only if the new responsibilities, reporting, training and growth fit your interests.

A move labelled “promotion” should be evaluated by the actual grade, supervisory authority, pay and scope. A move to another hotel to cover shifts for a few weeks is not necessarily a promotion or permanent reassignment.

Don’t add the new title to your CV until you have genuinely assumed that role and can describe the work truthfully.

What to check about staff accommodation before transferring

Ask for the actual address and room-sharing terms, starting availability, rent or utilities, meals, safety and commuting time for your shift. If your original hotel supplied free housing, do not assume the second property has the same policy.

If accommodation is not ready on the start date, ask who will arrange temporary lodging and what expenses are approved. Get confirmation through official HR before resigning from a rental or sending a deposit to an unknown person.

Your current manager and new manager: who should approve the move?

Follow the property’s internal hiring or transfer policy. A typical process may involve discussing your development goals, applying to a genuine opening, the receiving manager’s assessment, your current manager’s release date and documented HR approval. Every employer is different.

Don’t pressure colleagues to keep a secret or access private hiring records. Keep communication factual and respectful, especially if the hotel must plan a replacement before releasing you.

Subject: Internal transfer enquiry — [Your name / employee ID]

Dear [HR/Manager], I’m interested in exploring an internal opportunity at [property and city] for [role]. My current responsibilities include [two genuine tasks], and I would like to learn whether my skills fit the opening. Could you please confirm the formal transfer procedure, eligibility requirements, reporting and compensation terms, expected timing, and how current employment benefits would be handled? I would appreciate guidance before making personal relocation arrangements. Thank you.

Do not state that HR has approved your transfer if the conversation is only preliminary.

What if the employer asks you to transfer urgently?

Ask which terms are confirmed and whether travel, temporary housing or scheduling support is available. If moving will affect family commitments, a rental agreement or a medical appointment, explain the practical issue calmly and seek a workable timeline.

For transfers directed by the employer, review the existing transfer or mobility clause and any applicable legal requirements. Don’t assume a verbal instruction cancels your contractual rights or automatically creates a right to refuse every posting. Seek qualified advice if you face a serious dispute.

One-week transfer preparation checklist

StageAction
Day 1Clarify whether the new location is an internal move or new legal employment
Day 2Read job responsibilities, pay, benefits, probation and notice terms
Day 3Check realistic city expenses, housing and shift transport
Day 4Ask about leave, service continuity, payroll and EPFO matters where relevant
Day 5Confirm training, handover and reporting manager
Day 6Obtain the approved written transfer or appointment terms
Day 7Make relocation arrangements only after the essential points are settled

This is an organizational checklist, not a guaranteed HR processing timeline.

What to document on your CV after a genuine transfer

If you remain with the same employer, a resume may show a combined employer entry with two properties and dates, with specific responsibilities for each. If the legal employer changed, you may need separate entries for accuracy. Use your actual appointment records rather than assuming a group brand is the legal employer.

Final decision checklist

  • ☐ I know who my legal employer will be.
  • ☐ I understand the actual role, property, start date and reporting manager.
  • ☐ Pay, benefits, leave, probation and notice arrangements are clarified.
  • ☐ My relocation and staff accommodation costs are realistic.
  • ☐ I have a written approval or formal offer, not only a verbal invitation.
  • ☐ My current property knows the proper release and handover process.

Frequently asked questions

Can I transfer from one hotel brand property to another?

You can enquire, but the outcome depends on available roles, employer policy and whether the properties have the same legal employer or separate businesses.

Do I have to resign to transfer?

Not always. A genuine internal transfer and a move to a separate company may involve different formalities. Ask for the legal and payroll arrangement in writing.

Will I keep the same salary and service benefits?

Do not assume so. Check the approved transfer terms and applicable rules. Some employment-related records or benefits may need separate treatment.

Can I refuse a transfer to another city?

The answer depends on your contract and relevant law. Ask for the specific terms and seek qualified advice for a dispute.

Should I relocate before HR sends the order?

Avoid making irreversible spending decisions based only on an unconfirmed proposal. Obtain essential written joining and employment terms first.
