A hotel airport pickup SOP coordinates reservations, the concierge or bell desk, an approved driver and the arriving guest. A pickup is not truly confirmed simply because someone wrote “airport transfer” in the booking notes: it needs a verified travel date, pickup location, authorized vehicle, price or package terms and a communication plan when a flight is delayed. This original HoReCaHire airport transfer checklist and vehicle dispatch register is designed for hotels in India, with realistic scripts and a carefully labeled rupee example.

Airport pickup versus airport drop: important differences

StageArriving guest / pickupDeparting guest / drop
Flight informationActual arriving flight and correct airport/terminalScheduled departure flight and suggested check-in margin
LocationConfirmed authorized meeting pointHotel vehicle boarding location
Identity/privacyAppropriate traveler or booking verificationCorrect departing passenger and luggage
Travel timeActual arrival, traffic and meeting delaysRisk of missed departure; no guaranteed travel time
PaymentPrepaid/included or clearly agreed chargeActual folio or other verified settlement

Hotel airport pickup SOP: 10-step workflow

  • 1. Receive request: confirm whether pickup is included in the actual rate plan or requested as an optional service.
  • 2. Verify itinerary: collect only needed flight number, arrival date, airport/terminal, passenger count and appropriate contact route.
  • 3. Confirm suitability: check genuine luggage, accessibility or child-seat needs and approved vehicle availability.
  • 4. Approve pricing: disclose verified vehicle type, total fare, waiting terms and taxes or extras before acceptance.
  • 5. Dispatch correctly: assign a permitted driver, lawful vehicle and actual meeting point through the authorized transport owner.
  • 6. Recheck travel status: monitor available actual flight updates without treating an unverified estimate as a guarantee.
  • 7. Communicate: tell the guest how to identify an authorized driver and what to do if contact fails.
  • 8. Meet securely: use a verified pickup reference and appropriate identity check without displaying full guest records publicly.
  • 9. Complete handover: confirm passenger and luggage safely, including any reported discrepancy or accessibility arrangement.
  • 10. Close and reconcile: record actual transfer status, departure/arrival updates and authorized invoice or folio posting.

Fictional airport transfer quotation example

Suppose a hypothetical hotel offers an optional one-way transfer at a verified base fare of ₹1,500, with a separately disclosed approved waiting charge of ₹200 for a service situation that genuinely attracts it. The quoted subtotal is ₹1,700 before any actual relevant taxes. Do not apply a waiting fee automatically because a flight landed late; use the property’s documented terms, guest acceptance and evidence of actual waiting. These rates are illustrative, not live prices at any Indian airport.

Useful guest communication scripts

SituationAppropriate message
Confirming pickup“Your pickup request is confirmed for [verified date], [airport/terminal] at [agreed meeting point], with [approved fare].”
Flight changes“We’ve received your update. We’ll reconfirm vehicle and meeting arrangements before promising revised pickup.”
Guest cannot see driver“Please stay in a safe permitted area and contact our verified hotel number. We’ll confirm the driver’s location.”
Accessibility request“What vehicle or access arrangement would help you? I’ll check the actual option with the provider.”
Fare disputed“We can compare the confirmed transfer terms with the folio and arrange an authorized review.”

Delayed flights, missed pickups and no-shows

A guest’s aircraft may arrive early, late or at a changed terminal. Flight monitoring can inform dispatch, but live information may be delayed and no system can guarantee a specific immigration or luggage-exit time. Set a realistic, lawful waiting and escalation procedure; distinguish passenger not found from flight delay, driver absent and an incorrect booking. Do not invent a no-show penalty unless actual accepted terms allow it.

Safety, licensing and privacy boundaries

  • Use a permitted transport service, suitably licensed driver and vehicle as required in the applicable jurisdiction.
  • Never circulate passport numbers, identity scans, room numbers or full itineraries in public driver groups.
  • A vehicle without the requested accessibility arrangement must not be described as suitable.
  • Driver identification and meeting-point instructions should help prevent impersonation.
  • Confirm the actual policy for luggage custody, child restraints and onboard passenger capacity.
  • Do not instruct staff or drivers to evade airport transport rules or use prohibited pickup zones.
  • For an incident or harassment concern, activate real emergency, security and hotel Duty Manager procedures.

An illustrative hotel concierge training exercise

A traveler books pickup for two adults, later adds another guest and reports one wheelchair. The trainee should ask what vehicle access is required, verify lawful seating/luggage capacity with the authorized provider, reissue any genuine changed price, confirm the guest’s acceptance and communicate accurate meeting instructions. The correct answer is not “send the same car and hope”; nor should the trainee request private medical details unnecessarily.

Daily manager checklist

  • Check all tomorrow’s airport arrivals and departures against genuine accepted requests.
  • Verify flight date and terminal, particularly around midnight and overnight changes.
  • Confirm actual vendor contacts, suitable vehicles and documented rates.
  • Check outstanding pickups with incorrect or missing flight details.
  • Ensure driver’s identity and guest messaging are accurate.
  • Review open transfer complaints and duplicate folio charges.
  • Handover transport exceptions with a named next-shift owner.

FAQs

Is hotel airport pickup always complimentary?

No. It depends on the actual rate plan, reservation confirmation and the property’s transfer package.

Should a hotel quote the flight landing time as guaranteed pickup time?

No. Flight arrival, passenger exit and actual vehicle meeting are separate events.

Can a guest’s personal details be shared with any driver?

Only the minimum necessary information should be shared through legitimate authorized dispatch arrangements and privacy controls.
