A hotel group room block pickup report shows how many rooms originally allotted to a genuine group have been booked against its block, how many remain available for group reservations and what happens at the agreed cutoff. Group room-block pickup is different from group guest check-in, which happens closer to the actual arrival. This original HoReCaHire group booking cutoff SOP and worksheet helps sales, reservations, revenue and front-office teams reconcile group inventory without double selling rooms or treating tentative enquiries as confirmed.
Group allotted rooms, actual block and picked-up rooms
| Term | Meaning | Control |
|---|---|---|
| Original allotment | The room quantities initially approved for the group/date/category | Retain correct historical record |
| Actual block allocation | Current reserved group inventory after authorized changes | May change following pickup/cutoff |
| Picked-up rooms | Reservations genuinely associated with the group block | Confirm IDs, room dates and status |
| Group rooms remaining | Actual allocation minus verified pickup under defined rules | Not separate physical room supply |
| Cutoff | Agreed release/control date or days before each arrival date | Must match contract and PMS configuration |
| Released unused allocation | Inventory returned to the property’s wider availability where applicable | Verify actual system/distribution effect |
Oracle Hospitality’s OPERA Cloud Block Room and Rate Grid guide explains cutoff dates, rolling cutoff days and release of unpicked rooms when relevant controls are activated. On cutoff, the system can reduce the current allocation to match pickup, while preserving the original blocked quantity for reference. A hotel’s actual contracted release terms and its enabled PMS/night-audit configuration determine whether an automatic step occurs—never assume every group works this way.
Worked group pickup example: 40 rooms for one night
Suppose a fictional conference has an approved original allotment of 40 rooms for a particular arrival night. Guests have made 28 distinct, valid pickup reservations for that date. Pickup percentage = 28 ÷ 40 × 100 = 70%. Remaining unpicked allotment = 40 − 28 = 12 rooms. Under an authorized cutoff releasing all 12 unused rooms without other changes, the group allocation could then equal 28 and the 12 unused rooms return to the hotel’s wider bookable inventory. This is only a numerical illustration: actual room types, bookings, rate conditions and system settings must be checked.
| Metric | Before cutoff example | After verified full release |
|---|---|---|
| Original historical allotment | 40 | 40 (historical reference) |
| Verified group pickup | 28 | 28 |
| Current block allocation | 40 | 28 |
| Remaining in group block | 12 | 0 |
| Unused rooms released to house | 0 | 12, subject to actual configuration |
| Pickup % of original | 70% | 70% |
Why a five-night group cannot use one room total blindly
A five-night group may have 40 allocated rooms on Friday, 30 on Saturday and 20 on other dates. Calculate room-nights and pickup by stay date and category. If a group holds 40 rooms for three nights, that is 40 × 3 = 120 allotted room-nights. If 25 rooms are picked up for each of those same three nights, 25 × 3 = 75 room-nights picked up, or 75 ÷ 120 × 100 = 62.5% room-night pickup. A reservation spanning only one or two nights must be counted for those dates, not for the entire block.

Ten-step group booking and cutoff SOP
- 1. Read the contract: verify dates, categories, quantities, cancellation terms, booking method and cutoff obligations.
- 2. Reconcile group code: match actual reservations to the correct block and arrival nights.
- 3. Verify pickup: exclude unsupported tentative names or duplicate reservation references.
- 4. Review room categories: ensure group allocation and pickup use compatible inventory.
- 5. Confirm cutoff type: a fixed date, rolling days or manual release may behave differently.
- 6. Obtain approvals: don’t release contracted inventory solely from a dashboard warning.
- 7. Communicate: notify the authorized group account contact when required by actual terms.
- 8. Execute correctly: allow the configured PMS process or authorized manual release.
- 9. Reconcile availability: verify the new block allocation and house inventory rather than assuming distribution has updated.
- 10. Handover exceptions: document late pickup, changed blocks, guest confirmations and next accountable person.
Fixed cutoff vs rolling cutoff example
| Cutoff type | Example meaning | Caution |
|---|---|---|
| Fixed date | All eligible unused group allotment processed on a specified date | Check contract and property business date |
| Rolling seven days | Unused rooms for each stay night released seven days before that night | Not necessarily a single release for entire stay |
| Manual authorized release | A manager/process deliberately changes block allocations | Requires permissions and audit trail |
| No configured automated release | System may retain allotment until actual process runs | Don’t infer automatic action from written date only |
Oracle documentation also notes that certain cutoff actions depend on enabled OPERA controls and relevant night audit procedures. Reservations teams should verify the site’s exact setup, including manual overrides, rather than publishing screenshots or claims that one button behaves identically at every property.
Handling a late guest booking after cutoff
A confirmed group attendee may contact the hotel after the stated group release. Explain the actual contracted booking terms and check live hotel inventory, current rate eligibility and management approval. Do not promise that an unused original group room remains held after it has been properly released, or reject an already valid reservation merely because an outdated spreadsheet shows a smaller block.
Common room-block pickup errors
- Counting unsigned event enquiries as confirmed picked-up rooms.
- Adding the same guest reservation twice because it appears on both rooming list and PMS.
- Treating every release as incremental physical room creation.
- Comparing a one-night pickup count to a multi-night room-night allotment.
- Changing cutoff conditions without commercial approval and group communication.
- Assuming channel inventory synchronized immediately without a verified confirmation.
- Canceling a confirmed reservation to force a block report to match an expectation.
Weekly group-pickup review format
| Owner | Review item | Output |
|---|---|---|
| Group Sales | Contract terms, actual dates, final group contacts | Validated business terms |
| Reservations | Distinct pickup reservations and cancellations | Correct pickup report |
| Revenue | Current allocation and safe wider inventory use | Approved sales/release decision |
| Front Office | Arrival readiness and privacy-sensitive rooming list | Realistic guest arrival plan |
| Finance / Banquets | Separate approved master account/event obligations | Correct charge routing owner |
KPI interpretation: pickup is not the same as conversion or revenue
A 70% group pickup describes reservations against a defined original block at a specific date. It does not prove that 70% of expected guests have arrived, paid, or spent against their F&B commitments. Compare legitimate pickup pace to contractual deadlines, actual cancellation patterns and permitted rate terms; revenue, arrivals and banquet guarantees are separate figures.
Interview drill for hotel reservations staff
A 40-room block has 28 picked up before cutoff. How many can be released?
Up to 12 unused rooms under the simplified example, but only after confirming current block, room-night dates, active pickup reservations, permitted cutoff and real system/contract terms.
What happens if a confirmed group guest arrives after cutoff?
A valid guest reservation isn’t automatically voided by the release of unused group inventory. Verify the reservation and obligations separately.
Why might a cutoff date not automatically free rooms?
Configured PMS controls, night audit procedure, permissions or manual-release arrangements may differ. Review actual system status and documentation.

FAQs
What is hotel group room block pickup?
The quantity of rooms or room-nights genuinely booked against an authorized group allotment, measured for a stated date range and block definition.
Does cutoff cancel existing confirmed group bookings?
No, not inherently. Cutoff normally concerns unused allocation; valid bookings and contract obligations must be assessed separately.
Is released group inventory automatically sold on OTAs?
No. It may return to hotel-level availability, but actual channel saleability depends on PMS distribution and further restrictions.
