A hotel reservation confirmation email template should reassure a guest that a real booking exists, explain the agreed stay terms, and help them prepare for arrival. It is not the same as an enquiry quotation or a payment request. This original HoReCaHire hotel booking confirmation email guide includes copy-ready wording for individual bookings, modifications, payment clarifications and pre-arrival reminders, plus a front-office verification checklist for Indian hotels.
What a hotel confirmation must communicate
| Field | Guest-facing information | Check before sending |
|---|---|---|
| Hotel and contact | Correct property name and verified support channel | Avoid private employee telephone numbers |
| Confirmation reference | Real PMS/CRS booking ID | An enquiry reference is not enough |
| Guest and dates | Approved primary guest, check-in and checkout dates | Confirm year, time zone and nights |
| Room and occupancy | Actually booked room category, permitted occupants | Don’t promise a specific room number |
| Rate and inclusions | Agreed stay total and genuine meal plan | Taxes and per-night versus stay totals clear |
| Deposit and payment | Verified prepaid status, unpaid balance or approved collection method | Do not invent a payment confirmation |
| Cancellation and changes | Applicable terms for this booking and rate | No universal deadline assumed |
| Arrival guidance | Real check-in time, ID requirements and useful directions | No unconditional early check-in promise |
Oracle Hospitality’s reservation confirmation documentation describes configured email templates, a confirmation preview, recipient selection and permitted customization in OPERA Cloud. The system can also offer SMS in supported configurations. Front Office must use the actual property’s settings and verify that a communication was genuinely sent—not just saved as a draft.

Reservation confirmed versus quotation pending
| Status | Email should say | Never claim |
|---|---|---|
| Enquiry only | “We can quote this verified option subject to change.” | “Your room is confirmed.” |
| Temporary hold | “We have placed a hold until the actual permitted deadline.” | “Payment received” without proof |
| Confirmed | “Reservation [real ID] is confirmed under these conditions.” | Additional benefits not in the booking |
| Payment pending | “Balance/payment step remains under approved process.” | That a third-party payment link is automatically safe |
| Canceled | “The cancellation has been processed and terms recorded.” | That all cancellation fees were refunded without evidence |
Eight-step reservation confirmation SOP
- Locate the genuine PMS or CRS booking, not only a phone note or spreadsheet lead.
- Verify the guest’s authorized contact method and correct recipient profile.
- Check stay dates, room type, occupant count, approved rate plan and total amount.
- Reconcile legitimate deposits, prepayments, pending balances and applicable cancellation terms.
- Select the currently approved guest-language confirmation template if supported.
- Review all dynamic fields, especially multiple rooms, changed dates and package inclusions.
- Send through the authorized hotel system and check the actual delivery/communication status.
- Record any failed delivery, discrepancy or guest follow-up as an owned issue without exposing private booking data.
Worked two-night confirmation calculation
A fictional guest has booked two nights at ₹4,200 room-only per night, with an approved ₹1,500 prepayment. Before applicable taxes and any contractually agreed extras, the room subtotal is 2 × ₹4,200 = ₹8,400. Subtracting the verified prepayment leaves ₹6,900 before outstanding taxes and adjustments. Staff should not quote ₹6,900 as the final hotel balance without applying the actual correct tax and payment rules. These are illustrative figures, not live accommodation prices.
Pre-arrival hotel email template
Subject: Your Upcoming Stay at [Hotel] – [Arrival Date]
Dear [Guest Name], we look forward to welcoming you on [confirmed date]. Your verified reservation reference is [ID]. Our current check-in arrangements are [approved check-in details]. For directions, accessibility requests, permitted airport pickup or dietary questions, you may contact [official hotel channel]. Any additional service is available only as genuinely confirmed under its applicable price and conditions. If your arrival time or plans have changed, please let us know through our official reservations contact so we can review the available options. Regards, [Hotel Team].
Booking modification confirmation
Subject: Your Updated Hotel Booking – [Reference]
Dear [Guest Name], we confirm that the following approved change has been applied to reservation [real ID]: [original date/type] has changed to [new verified dates/type]. The updated full booking price and any authorized change/cancellation terms are [accurate details]. Your prior confirmation should not be relied on for the altered fields. If this does not match your request, contact [official hotel contact] promptly. Regards, [Hotel Reservations].
Guest asks to confirm payment over messaging
If a guest sends a screenshot of a UPI or card payment, don’t announce that the bill is fully settled without actual authorized settlement verification. Compare the legitimate property payment/processor record with the booking and involve Finance where needed. Do not request card PINs, passwords, OTPs or remote access. Where the booking platform controls payment, refer to its genuine approved process rather than an employee’s personal account.
Pre-arrival guest requests and privacy
| Request | Correct confirmation handling |
|---|---|
| Early check-in | Request noted; subject to actual inspected room availability and applicable terms |
| Accessible room/features | Check functional needs respectfully and confirm actual verified suitability |
| Airport transfer | Confirm only authorized vehicle, meeting point and full price |
| Special diet | Route accurate guest request to trained F&B team; no unsupported guarantee |
| Anniversary setup | Confirm only approved decoration or package and genuine fees |
| Third party asks for guest details | No disclosure without authorized identity and privacy checks |
Hotel reservations communication audit sheet

Common confirmation email mistakes
- Sending a quotation and calling it a confirmed reservation.
- Quoting the nightly rate as though it were the full multi-night total.
- Sending booking details to an unverified third party.
- Assuming an OTA booking includes hotel breakfast because a photo shows a buffet.
- Promising a particular guestroom or early arrival without real clearance.
- Forgetting to resend amended confirmation after a genuine date change.
- Treating a saved email template as proof that the guest actually received the confirmation.
Training check: three Front Office scenarios
A guest paid a deposit but the PMS shows an unsettled amount. What now?
Verify the actual payment and booking conditions with the authorized team; provide a transparent verified status, not an invented settlement.
A reservation changed from one to three nights. What must update?
Dates, number of nights, quoted stay total, terms, any prepayment balance, and correct confirmed details must be checked before sending.
A relative requests a copy of someone else’s confirmation. What happens?
Follow authorized recipient and privacy verification procedures. Knowing the guest’s name is not sufficient evidence of entitlement.

FAQs
Is a quote email equal to a room confirmation?
No. A genuine confirmation normally requires a valid booking record and the property’s authorized acceptance procedure.
Should a guest see the whole stay price?
The communication should disclose the genuine accepted price, necessary taxes and material terms clearly, not hide per-night versus full-stay differences.
Can a hotel guarantee early check-in in its confirmation?
Only if the specific commitment is genuinely authorized and supportable. Requests and confirmed purchased options are different.
