A hotel reservation inquiry conversion tracker helps a reservations or front-office team follow a genuine interested traveler from first enquiry to an accepted, verified booking—or a clear lost reason. It is different from a confirmed reservation record, group room pickup, or cancellation SOP. Enquiries are opportunities, not sold room-nights. This original HoReCaHire reservations follow-up SOP includes a daily leads register, room-quote scripts, conversion maths and a permission-aware guest communication plan.
The eight-stage hotel reservation enquiry funnel
| Stage | Meaning | Evidence |
|---|---|---|
| New enquiry | Guest asks about a date, price or room | Genuine inbound request |
| Qualified | Dates, party size, room needs and decision context understood | Minimal relevant notes |
| Availability checked | Hotel verifies current inventory and eligibility | Current PMS and rate rules |
| Quote sent | Approved price, inclusions and conditions supplied | Offer version and actual validity |
| Follow-up pending | Guest has not decided and permits contact as applicable | Responsible staff and next suitable action |
| Accepted/requested booking | Guest expresses decision under proper terms | Guest instruction, not yet necessarily PMS confirmation |
| Confirmed | Proper reservation exists with approved details and reference | Valid PMS/CRS confirmation |
| Lost/no longer active | Guest declines, becomes unreachable under process, or request expires | Accurate reason and contact preferences |
Oracle Hospitality’s Reservation Service Requests allows authorized tracking of guest-associated issues with completion and follow-up statuses; these are not identical to an unsold sales enquiry. The Central Sales Leads workflow separately documents follow-up and decision dates for relevant opportunities. A small hotel can maintain a permission-controlled lead sheet, provided actual PMS confirmations remain the authoritative booking record.
Hotel enquiry handling SOP: ten steps
- Receive the genuine inbound enquiry through an authorized hotel contact channel.
- Ask only necessary details: stay dates, party size, suitable room needs and agreed contact method.
- Check actual available rooms, restrictions and appropriate rate plan in the live booking system.
- Quote the correct stay total, date, taxes, inclusions, deposit and cancellation terms.
- Explain clearly that availability and pricing may change until genuine acceptance/confirmation.
- Capture the guest’s decision timeline and any allowed follow-up permission.
- Record one lead ID, legitimate source, assigned owner and next action.
- Respect opt-outs and avoid repeated unsolicited messages or unapproved rate pressure.
- When the guest accepts, follow actual secure reservation/payment controls and send authorized confirmation.
- Close the lead accurately as confirmed, lost or future interest; do not inflate room revenue or sales.

Hotel reservation quotation script
| Situation | Suitable staff wording |
|---|---|
| Initial enquiry | “Thank you for contacting [Hotel]. May I check your dates, number of guests and room needs so I can verify our available options?” |
| Quote | “For [verified dates], the available option is [room type] at [approved total], including [genuine services], under [cancellation/deposit terms].” |
| Unconfirmed availability | “This is the currently verified option, not yet a held or confirmed reservation. Shall I explain the booking process?” |
| Guest comparing properties | “Of course. Is there anything about the rate, room or inclusions I can clarify?” |
| Respectful follow-up | “Following up on the quote you requested for [dates]. If your plans have changed, please let us know; we won’t assume you wish to book.” |
| Guest opts out | “Understood. We won’t send further messages about this enquiry, except any genuinely necessary booking communications.” |
Calculate enquiry-to-booking conversion correctly
Suppose a fictional hotel receives 80 unique eligible enquiries during a defined reporting period. Of those, 20 become confirmed reservations under the property’s agreed attribution and reporting cutoff. Lead-to-booking conversion = 20 ÷ 80 × 100 = 25%. This does not mean 25% of the hotel’s rooms are occupied, or that 20 paid room-nights have been stayed. One confirmed reservation may cover several rooms and nights; booking revenue still requires actual valid commercial recognition.
| Funnel measure | Fictional count | Calculation |
|---|---|---|
| Eligible unique new enquiries | 80 | Deduplicated initial requests |
| Valid quotes sent | 50 | 62.5% of enquiries quoted |
| Confirmed reservations | 20 | 25% of enquiries confirmed |
| Not yet booked/lost/pending | 60 | Statuses need proper distribution |
| Conversion among quoted leads | 20 / 50 | 40%, if attribution defined consistently |
How to distinguish poor conversion from missing inventory
A low conversion rate may reflect a genuine sell-out, unsuitable location, invalid guest dates, high price, slow response, incomplete quote, uncertain deposit terms or source quality. Do not demand that reservation agents confirm unavailable rooms just to improve their score. Record a truthful lost reason and investigate where the business can make a guest-friendly change. Front-office staff should not override engineering room blocks or contracted rate permissions.
Response-time and follow-up planning
A first response should be timely enough for the guest’s genuine needs, but the correct pace depends on staffing, channel, season and permission. A hot lead with travel tomorrow may need immediate verification; an enquiry for a wedding next year may require a structured longer decision process. No universal “send four messages in 24 hours” rule is appropriate for every traveler. Follow actual data privacy, marketing communication and guest opt-out requirements.
Reservation lead quality and privacy controls
- Don’t keep passport scans, card numbers or sensitive health details in a marketing lead sheet.
- Avoid sharing private enquiry lists on personal messaging groups.
- Use an approved channel for follow-ups and respect a guest’s explicit opt-out.
- Restrict who can view contact and rate history.
- Explain quoted taxes, optional breakfast and refundable/nonrefundable terms truthfully.
- Don’t generate fake PMS reservations to make conversion appear higher.
- Report possible fraudulent or payment-related requests to authorized hotel staff.
A five-minute reservations handover
| Item | What next shift needs |
|---|---|
| Pending urgent travel inquiries | Actual dates, availability checks and owner |
| Quoted but undecided | Rate validity and permitted follow-up method |
| Accepted but unconfirmed | What system action/payment/approval remains |
| Confirmation exceptions | Genuine PMS reference and guest communication issue |
| Opt-out/closed leads | No further marketing contact without appropriate basis |
| Room status change | Reservation implications and authoritative owner |
Hotel booking conversion KPIs that matter
| Metric | Definition | Caution |
|---|---|---|
| Enquiry-to-confirmation rate | Confirmed bookings ÷ eligible unique enquiries | Scope and deduplication required |
| Response-time distribution | Actual time between inquiry and human/system response | Speed doesn’t guarantee accuracy |
| Quote completeness | Valid quotes with real total and restrictions | Not just a price per night |
| Lead loss reasons | Factual documented cause mix | Don’t invent competitor names |
| Booking amendment errors | Confirmed changes posted incorrectly | Guest recovery and control |
| Guest opt-out compliance | Preferences honored properly | Do not reward excessive follow-up |
Six reservation enquiry interview exercises
Guest requests a room that is out of order. Can you reserve it?
No. Verify real assignability and approved alternate offers without compromising safety.
A caller wants four rooms and breakfast for two nights. What must the quote include?
Correct room count, dates, eligible actual rates, meal plans, total stay price, taxes and accepted conditions, not a guessed one-room tariff.
Guest asks about a rate that expires today. What do you say?
Explain the actual valid quote period and that confirmed booking requires the accepted authorized process.
Someone says they already paid but no booking is visible. What next?
Use payment/booking verification and qualified finance support, not a fabricated confirmation or a second unsolicited charge.
A lead asks you not to message again. What happens?
Honor the request under valid policy and record it appropriately, without repeated sales prompts.
Why does conversion not equal occupancy?
A confirmed booking is a commercial reservation; occupancy concerns actual qualifying room-nights sold/occupied in the correct reporting period.

FAQs
Is an enquiry the same as a confirmed hotel reservation?
No. A guest may request availability or receive a quote without holding any room. Check a real PMS/CRS confirmation and relevant terms.
Should staff follow up with every hotel enquiry repeatedly?
No. Consider contact permission, guest interest, the actual decision timeline and opt-out, using useful information rather than pressure.
Does a 25% enquiry conversion rate mean 25% occupancy?
No. The former measures a defined lead funnel; occupancy measures qualifying room-nights sold relative to available inventory.
