A hotel room inspection checklist is a supervisor’s final check that a cleaned, correctly prepared room can be released for its next use. Cleaning and inspection are not the same: an attendant completes agreed tasks, while an authorized inspector verifies quality, identifies safety issues and communicates verified readiness. This original HoReCaHire guestroom inspection form is designed for Housekeeping Supervisors and hotel operations teams in India; adapt it to the room category and your property’s SOP.
When should a hotel room be inspected?
Properties may inspect every departure room, select a sample or use other risk-based controls. A credible inspection system should prioritize readiness and safety, not just the fastest inspection time. NCHMCT’s published rooms division teaching material describes inspection as a way to find problems overlooked during cleaning and notes that inspection arrangements vary by establishment.
Room inspection vs room cleaning vs maintenance
| Activity | Main objective | Authorized owner |
|---|---|---|
| Cleaning | Make surfaces, linen and amenities ready using approved processes | Trained Room Attendant / Housekeeping Associate |
| Inspection | Verify room against documented property standards and identify defects | Housekeeping Supervisor / designated inspector |
| Maintenance | Assess and repair technical, electrical, plumbing or building faults | Qualified engineering/technical personnel |
| PMS status update | Record verified room readiness for front office | Authorized housekeeping/front-office system user |

How to inspect a hotel room in six stages
- 1. Confirm authorization: check the actual room number and occupancy or Do Not Disturb status before entry, observing privacy and access rules.
- 2. Scan the room: observe door operation, floor hazards, unexpected odours, obvious defects and anything requiring specialist attention.
- 3. Verify bedding and presentation: match clean linen, pillows and basic amenities to the actual booked room type.
- 4. Inspect the bathroom: follow the property’s hygienic inspection procedure and identify leaks, visible soil or missing supplies.
- 5. Check operational readiness: record observable lighting, cooling, furniture or facility faults without attempting untrained repairs.
- 6. Decide and hand over: release only where the supervisor’s approved criteria are met, otherwise issue a re-clean, maintenance work order or room block.
Occupied-room and DND inspections require extra care
Never treat a stay-over guestroom exactly like a vacant departure room. Occupancy status, personal possessions, privacy and guest requests affect what may be checked. Do not move, photograph or examine guest belongings without appropriate authority. Follow the hotel’s welfare and room-entry protocols for DND exceptions; completing an inspection quota does not justify entry.
Sample 100-point inspection rubric
| Area | Suggested points | What to document |
|---|---|---|
| Visible cleanliness | 30 | Specific condition against actual standard |
| Bathroom readiness | 20 | Supplies, sanitary appearance and reported defects |
| Linen and amenities | 15 | Correct count and clean presentation |
| Safety and maintenance observations | 20 | Hazards noticed and escalated appropriately |
| Correct reporting and room status | 15 | Issue owner and authorized readiness decision |
This illustrative training rubric is not a certified inspection standard. A serious safety defect cannot be neutralized by high marks in decorative presentation; the room should be held under the property policy until qualified staff resolve the issue. Different room categories may need different criteria.
Housekeeping inspection register format
| Field | Sample entry | Purpose |
|---|---|---|
| Room ID and type | [Internal room reference / category] | Match the actual room standard |
| Inspection time | [Date/time] | Proves which work period was reviewed |
| Inspector | [Authorized staff ID] | Creates accountability |
| Cleaning status | Complete / re-clean required | Separates work done from accepted |
| Observed defects | [Neutral problem description] | Guides corrections |
| Work order | [Maintenance ticket or escalation] | Links technical action |
| Final release | Ready / blocked / pending | Avoids premature front-desk assignment |
| Handover recipient | [PMS user / front office lead] | Confirms next action |
Five sample findings and decisions
| Observation | Appropriate response |
|---|---|
| Missing clean towel | Return for required supply correction and recheck |
| Loose electrical cover | Keep safe, restrict use and escalate to technical team |
| Unexplained stain on linen | Replace/handle under hotel linen and hygiene procedure |
| Room status mismatched in PMS | Verify actual occupancy and update through authorized process |
| Guest item left behind | Use hotel’s lost-property custody and reporting process |
How to avoid unfairly blaming room attendants
Check whether the correct linen, cleaning products, equipment, maintenance support and allotted time were available. Compare repeated issues by type rather than using a single defect as a verdict on a worker. When training is missing, document the coaching and let the employee demonstrate a corrected method. The supervisor should be accountable for the room-release decision.
How to make room-inspection data actionable
- Review repeated bathroom, maintenance or linen findings rather than only one overall score.
- Separate cleaning faults from technical defects so the right department receives the work.
- Track unresolved high-priority maintenance and room blocks through an approved system.
- Record any training or equipment need that prevents a successful inspection.
- Verify the room was truly rechecked before restoring available status.
- Use complaint trends and front-office feedback to improve the checklist carefully.
Room inspection questions for hiring
What do you do if a room looks clean but has a sparking socket?
Do not release the room. Follow immediate safety and engineering escalation, record the observed defect and wait for qualified authorization.
What if a housekeeping associate says a towel shortage prevented completion?
Verify supply, arrange safe replenishment and document the reason for a pending room. Address the inventory process rather than disguising the missing amenity.
Should you open closed drawers in an occupied guestroom?
Not routinely. Respect guest privacy and follow the property’s permitted service, security and room-access SOP.

Frequently asked questions
Is a 100% inspection score necessary for every room?
Follow the hotel’s real release standard; numerical scores are only support tools. A serious unresolved safety issue prevents release even with high marks elsewhere.
Does a supervisor have to inspect every room?
Requirements vary by property, room category and quality-control approach. Use the documented supervision process.
Can guest-room inspections be done with photos?
Only where authorized, necessary, privacy-protective and consistent with the hotel system. Do not capture personal guest belongings or IDs for convenience.
