A hotel accounts receivable aging report helps finance teams understand what corporate, travel-agent, group or other approved direct-bill customers still owe, how long invoices have been outstanding and who must resolve disputes. It is different from daily cashier closing: an invoice in the AR ledger may remain unsettled well after a guest checks out. This original HoReCaHire hotel AR aging register and follow-up SOP offers a copy-ready worksheet, consistent aging logic, a worked rupee example and privacy-conscious collection communication.

What does accounts receivable aging mean in a hotel?

Hotel AR aging groups invoices or outstanding portions of invoices into defined periods. The aging start date is not universal. Oracle Hospitality OPERA Cloud lets hotels configure the Date for Aging, potentially using transfer-to-AR, invoice-closure, guest-checkout or another permitted event. Aging buckets may also be configured. Before comparing balances across systems, verify the hotel’s actual method, report cutoff, credit posting and invoice definitions.

Seven-step hotel AR reconciliation and collections SOP

  • 1. Define the snapshot: choose one as-of date, currency and hotel or company accounts scope.
  • 2. Identify genuine open items: reconcile invoices, payments, credit notes and authorized transfers in the finance system.
  • 3. Verify aging policy: document whether the age is based on invoice issue, transfer or other configured date.
  • 4. Group correctly: use non-overlapping aging buckets and the same cutoff for every invoice.
  • 5. Investigate exceptions: identify unapplied cash, duplicate invoices, partial payments and genuine disputes.
  • 6. Contact fairly: send accurate statements or follow-up only through approved client contacts and contractual processes.
  • 7. Escalate and record: assign resolutions, approvals, write-off/credit decisions and next review dates.

Illustrative hotel AR aging calculation in rupees

Imagine an internally consistent training snapshot on 31 October 2026 using invoice dates, not guest checkout or transfer dates, as its agreed aging clock. A ₹50,000 invoice dated 21 October, with ₹10,000 of genuine applied payments, has ₹40,000 open and is 10 days old. A second invoice dated 10 September has ₹30,000 open and is 51 days old. A third invoice dated 1 August has ₹20,000 open and is 91 days old. Total remaining AR = ₹90,000, before any unapplied credits or other accounts. The numbers are fictional and must not be presented as real HoReCaHire revenue.

A—21 Oct₹40,00010 days0–30

C—1 Aug₹20,00091 days91+ / actual configured bucket

Aging buckets are not automatically payment-overdue bands

An invoice aged 35 days can still be within terms if an agreed credit period is 45 days. Conversely, an invoice aged 20 days may already be contractually overdue when the due date was seven days after issue. Keep an aging view and an actual due-date view separate when sending collection notices. Do not write “overdue” solely because an invoice appears in a 31–60 day bucket.

Four reconciliations before contacting a customer

  • Match invoice to the approved corporate or agent agreement and genuine billable service.
  • Confirm that a guest or group charge was not already settled in the guest folio or master account.
  • Match payment receipts and any unapplied credits to the appropriate items using finance controls.
  • Review any previously approved credit note, dispute or revised billing instruction before demanding the original amount.

Privacy, finance approvals and audit trail

Finance should limit client invoice data and guest-linked folios to authorized recipients. Do not circulate statements on open staff groups or accept payments through an employee’s personal account. Corrections, discounts, write-offs and refunds require actual authority. The AR register is a management aid, not an accounting-standard or tax compliance certificate.

FAQs

Is AR aging the same as revenue earned?

No. It reports unsettled invoice balances under a defined accounting method. Revenue recognition, tax and cash settlement are separate assessments.

Does an invoice in the 31–60 bucket mean the customer is late?

Not automatically. Compare with the actual contractual due date and whether credits, disputes or payments remain unresolved.

Can an AR clerk write off a disputed folio?

Only through the approved finance and accounting authority. A dispute requires review; it is not permission to delete the record.
