A hotel OTA commission reconciliation SOP verifies whether booking-platform or travel-agent charges match genuine stayed reservations, agreed commercial terms, taxes, adjustments and the relevant payment model. It is distinct from managing OTA content or preventing channel overbooking. The hotel’s Finance and Reservations teams must first establish which reservations are commissionable, which amounts form the valid base and who is permitted to challenge an invoice. This original HoReCaHire OTA commission reconciliation format includes a rupee example, line-by-line register, mismatch workflow and monthly sign-off.
OTA commission, booking source and travel agent commission
| Term | Meaning | Control |
|---|---|---|
| OTA/agency commission | Contractually agreed charge associated with eligible reservations | Check channel-specific contract and correct base |
| Merchant model | Channel may collect guest money under negotiated settlement terms | Don’t assume hotel received gross guest payment |
| Hotel-collect / agency model | Guest may settle with hotel while supplier bills commission | Verify approved payment allocation |
| Cancellation or no-show adjustment | Possible billing change based on contract and actual reservation outcome | Not automatically zero or always full |
| Commission posting versus payment | Recorded liability and actual settlement are distinct | Reconcile to ledger and remittance |
Oracle’s OPERA Cloud Commissions Reports include prepayment, paid, transferred and agent-summary reports, with reservation and source-profile details. Its commission management guidance describes configurable percentage or flat commission rules and holds/adjustments. This does not mean every third-party OTA invoice is automatically payable through OPERA’s agency commission module; use the actual hotel contract and finance integration.
Seven-step OTA invoice reconciliation SOP
- Identify the supplier, contract, currency, billing period and correct commission model.
- Export real property reservations and corresponding eligible stayed, modified, canceled or no-show statuses.
- Check unique booking references, channel/source attribution, dates and legitimate duplication.
- Determine the actual commissionable amount according to the written commercial terms.
- Recalculate commission and any relevant authorized adjustments, credits and taxes separately.
- Investigate exceptions with Reservations, Revenue and the OTA or finance vendor before approving payment.
- Record corrected amounts, official credit/debit evidence, authorized approval and secure settlement.

Worked ₹8,000 booking commission example
Suppose a fictional hotel stay has a ₹8,000 eligible commission base under a verified agreement with a 15% commission rate, and no other relevant adjustment. The expected base commission is 8,000 × 0.15 = ₹1,200. If the channel invoice line requests ₹1,360 on the same basis, the unexplained difference is ₹160. The accountant should review taxes, credits, fees, contractual base or duplicate lines before declaring a supplier mistake. These numbers are teaching examples, not confirmed OTA contract terms.
| Reconciliation item | Fictional amount | Note |
|---|---|---|
| Contractual commission base | ₹8,000 | Must match actual agreement |
| Approved rate | 15% | Assumed for illustration |
| Calculated base commission | ₹1,200 | ₹8,000 × 15% |
| Invoice amount shown | ₹1,360 | May include other valid components |
| Unexplained difference | ₹160 | Resolve before final decision |
Three distinct reasons commission totals may disagree
| Issue | What to check | Avoid |
|---|---|---|
| Reservation canceled or modified | Actual date, terms, approved charges and credited nights | Assuming cancellation always means no commission |
| Invoice on a different tax base | Written agreement, tax treatment and currency | Comparing gross and net amounts |
| Booking source incorrectly mapped | Valid reservation/source profile and vendor reference | Paying same reservation under two sources |
What changes for prepaid OTA bookings?
If the channel collected the guest payment, hotel settlement, booked room revenue and commission calculation may appear on different reports or in net remittances. Verify who is merchant of record and how the channel settlement statement recognizes refunds, chargebacks and fees. Do not automatically deduct an OTA commission a second time when the remittance was already net of it. Finance should reconcile the PMS folio, contract, channel payout and general ledger.
Chargebacks, disputed bookings and credits
- Link disputes to the correct authorized OTA booking reference and actual stay facts.
- Check guest cancellation/no-show terms with qualified Reservations rather than guessing.
- Confirm whether the supplier has issued a genuine credit, adjustment or revised invoice.
- Preserve original documents and matched ledger transactions for an audit trail.
- Escalate contested tax, legal or contractual interpretation to qualified Finance/Legal resources.
- Do not issue a guest refund or change their reservation to manufacture a commission adjustment.
Monthly hotel OTA close checklist

|---|---|---|
| Invoice received | Supplier, contract and billing scope verified | AP/Finance |
| Reservation match | Booking references, nights and actual stay statuses | Reservations/Revenue |
| Commission calculation | Approved rate, base and credit review | Revenue/Finance |
| Dispute management | Supplier case ID and evidence retained | Authorized channel contact |
| Payment approval | Duplicate and bank detail controls | Authorized finance approver |
| Month close | Ledger and remittance reconciliation | Financial Controller |
Commission reporting KPIs
| KPI | Calculation | Caution |
|---|---|---|
| Matched invoice share | Correct matched lines ÷ reviewed eligible lines | Don’t force unsupported matches |
| Disputed commission value | Documented valid contested invoice amount | Does not mean refund is assured |
| Effective channel acquisition cost | Comparable actual channel costs ÷ relevant booking revenue | Include only defined costs |
| Unapplied channel credits | Genuine credits not yet properly matched | Could overstate payable |
| Resolution time | Verified settlement/credit closure minus first recorded issue | Supplier response depends on contract |
Six hotel finance interview scenarios
OTA claims 15% on ₹10,000 of eligible revenue. What is base commission?
₹1,500, excluding any other contractual or tax components. Show the commission base assumption.
Invoice includes a no-show booking. Delete it?
No. Check actual no-show fee, guest folio, channel contract and permitted commission terms first.
One booking appears on two supplier invoices. What next?
Confirm reservation IDs and whether both lines are legitimate distinct fees; place an appropriate hold on a likely duplicate pending review.
OTA says it already remitted net proceeds. What must Finance verify?
Reconcile the settlement statement, original booking, actual posting and fees before making another supplier payment.
A manager asks to hide a ₹160 difference to meet close deadlines. How do you respond?
Record the discrepancy, seek approved resolution and do not alter underlying booking evidence.
The commission rate changes partway through the month. What then?
Apply the actual valid contract period and qualifying reservation rule, not one rate to all invoice lines without verification.
Common OTA commission control failures
- Using the same 15% fee assumption for every booking platform.
- Ignoring the channel’s actual tax, currency or merchant/agency settlement structure.
- Treating a reservation enquiry as a stayed commissionable night.
- Paying supplier statements without matching individual reservation references.
- Skipping valid approved credits because the original invoice total looks correct.
- Sharing booking and payment credentials in open staff chat groups.
- Assuming commission saved automatically equals additional hotel profit.

FAQs
Does every OTA charge a flat 15% commission?
No. Commission rate, eligible revenue, taxes, special programs and payment arrangements differ by valid contract.
Should a no-show always be removed from commission reporting?
Not universally. The actual booking outcome, applicable fee and supplier contract determine any adjustment.
Is OTA commission the same as net hotel profit?
No. It is one distribution cost component; hotel profitability requires broader revenue and expense accounting.
